Legacy Server Changes FAQs

We’re making some great changes to our server infrastructure.

 

It’s an exciting time, with our planned infrastructure replacements being far superior and capable when compared to our legacy systems.

We’re keeping you in the loop, so let’s start by covering the whys, hows and whens.

For over a year now, we’ve been migrating an increasingly large number of clients over to our new mail system and web servers.

It’s now time to roll up our sleeves and expand this stage.

If you haven’t already worked with us to move onto Office 365 and our new hosting infrastructure, this page is for you.

If you’re straight-up ready to get started, then let’s begin by preparing to move email accounts to Office 365.

Here are some answers to common questions you might have. If we’ve missed something, please get in touch. We’d be happy to chat.



Q: Why are we making these changes?

 

A: We are committed to continual improvement and risk mitigation for our clients.

At our core, we’re a bleeding-edge tech company. We’re constantly testing, refining and building faster systems, inside of business hours and out.

Not only do we live and breathe tech, but staying at the forefront of new technologies ensures you, as our respected client, always get the best speed and protection available.

Over the past several years, we’ve learn a lot from designing and building all kinds of systems, for all kinds of uses.

While we’ve continually upgraded our existing systems over the years, we’d reached a point where a new fundamental starting point has allowed us to set a new standard in performance, setup, easy-of-use and efficiency.

We think it’s a great infrastructure to build upon for years to come and aligns with the latest industry practices.

Q: Do I have to move my website from the old COXTECH legacy stack of web servers?

 

A: COXTECH will be handling the migration of your website to our new web servers.

You don’t need to do anything and you will soon enjoy the benefits of a faster website.

We’ve got efficient processes in place to ensure your website’s down for as little time as possible. Usually, we’re talking minutes. If there’s any issues, we’ll get in touch.



Q: Do I have to move my email address/mailbox from the old COXTECH legacy stack email servers?

 

A: Yes, as the mail servers you’re currently using will be turned off on Wednesday 7th June 2017

We strongly recommend moving to a system like Office 365. It’s fast, filled with modern features, like synced emails, contacts and calendars, across multiple devices. It makes your business life simpler.

Microsoft Office 365 charges $7.00 per user or per mailbox per month.

COXTECH is able to help you move your email data from our old legacy server to Microsoft Office 365. As a valued client we will not charge you for this migration (saving you approximately $230.00 per user/mailbox).

Alternatively, you’re able to transfer your email to another server at your discretion.



Q: Will web hosting costs increase?

 

A: There are no changes to web hosting costs. They remain as is.

If your email addresses are not on Office 365 and were previously included in the web hosting plan, your email address/mailbox costs will change to $7.00 per user, per month (charged per year).



Q: Why is there now a cost per user, per month, for each email address/mailbox?

 

A: The reason there is now a cost for each mailbox is because your mailbox will be hosted on Microsoft’s Office 365 infrastructure.

To provide a large number of additional email and communication benefits, Microsoft needs to charge $7.00 for each user, per month.

The cost is worth it as you get many more features than just an email address. Our next answer covers a few of the most important benefits.

 

 

Q: I think I already have Office 365. How can I find out?

 

A: Microsoft has two different product lines, both called Office 365.

The first type of “Office 365” is the suite of standalone apps that doesn’t come with any email mailboxes. This type is a yearly subscription and is typically the product sold through in-store and online.  It’s important to note that if you have this product, you will still be affected by the changes described above.

The second type is the increasingly common type of “Office 365” where you pay-per-month, per user, for access to Office 365 services. If you are already paying a monthly fee for an Office 365 subscription, it’s likely you already have an Office 365 email service.  Let us know and we’ll work out the best course of action.

Q: What extra features do I get using Office 365?

 

A: Office 365 is more than just an email service.

It has brilliant reliability, with email hosting spread across multiple redundant Microsoft servers.

It also integrates with all sorts of new cloud-based apps.

You also get access to Outlook Online, a web-based version of Outlook.

Office 365 provides synced emails, contacts and calendars across all your devices. So, no matter what device you’re using, all of your info is consistent and up-to-date.

Office 365 will also give you access to SharePoint and OneDrive for saving documents online in the cloud. This mean you can now work from anywhere!

What’s more, included with the base $7.00 Office 365 mailbox, is access to online versions Word, Excel and Powerpoint. These provide real-time collaboration features, so multiple people can work on the same document at the same time. Gone are the days of passing .doc or .xls files around the office, each person making changes one by one.

Not to mention, Microsoft constantly releases new online apps of their own that you’ll automatically have access to.

Office 365 also provides a simple upgrade path to getting the newest standalone versions of Microsoft Word, Excel, Powerpoint and Outlook apps on your PC for about $10.00 more each month, per user.
